For team leads

The doc covers the work. Does the team know who covers?

A handover sits in one inbox. Forgot puts it where everyone looks: each vacation on your team calendar says who covers, and so does the morning Slack post, the weekly email and the share link.

  • "Back Monday · Sam covers" in Slack every morning
  • A warning when the backup is out the same week
  • The handover note, with its links, on the vacation itself

14 days free, no card. Then $9 once, no subscription.

What to put in a handover, and what to leave out.

Six things, on one page. Anything your team needs every week belongs in its own doc, with the handover linking to it.

  • Who covers, and how to reach them

One name per area. If two people cover, say who has what.

  • Every project that moves while you're out

Where it stands, what happens next, and who does it.

  • Who to ask about what

The person for billing, for design and for the server that falls over.

  • What waits for you

Decisions only you should make, so nobody makes them by accident.

  • Where things are

Links to the docs, boards and dashboards. Point at the password vault, never paste passwords.

  • Meetings and recurring tasks

Who runs standup, which reports go out and which can skip a week.

Before your last day: a checklist.

The things to do at work before going on vacation, in the order they usually happen.

  1. 01Walk your backup through the handover, and answer their questions while you still can.
  2. 02Tell the people you work with most who covers, and until when.
  3. 03Set your out-of-office reply in email and your status in Slack or Teams.
  4. 04Decline or hand off the meetings you'd miss, and put the time off on the team calendar.
  5. 05Move deadlines that can't be met without you, and say so before you go.
  6. 06Share access to the docs, folders and boards your backup will need.
  7. 07Close your laptop with nothing half-sent: no drafts waiting and no reviews blocking anyone.
  8. 08Write down where you stopped, so Monday morning back takes ten minutes, not two hours.

For the auto-reply, the out-of-office generator writes one with your dates and backup filled in.

Handover email examples, for your backup, team or client.

Short on purpose: the email points at the handover doc and says the three things people need first.

Subject: Your contact while I'm out, Nov 23–27

Hi Maria, I'm out of the office from Nov 23 to Nov 27. While I'm away, Sam Rivera (sam@acme.com) is your contact for the rollout, and has everything from our last call. The review we planned for the 25th moves to Tuesday, Dec 1, unless Sam confirms another time with you. Best, Jordan

Questions

What is a handover document?

It's a short note you leave before time off, parental leave or a role change. It tells whoever covers for you what's in progress, what's waiting on someone else, which decisions to hold, who to ask and where everything lives. A good one lets your backup answer questions without messaging you.

What should a vacation handover include?

Your dates and the day you're back, who covers and how to reach them, and every project that will move while you're out, with its status and next step. Add what you're waiting on, the meetings and reports someone else runs or skips, decisions to hold until you're back, who to ask about what, and links to the docs and boards. The template at the top of this page has a field for each.

When should I start my handover?

Start the document about a week before a one-week vacation and two to three weeks before parental leave or a sabbatical. Walk your backup through it two or three days before your last day, so there's still time to answer their questions. Then update it on your last afternoon.

How long should a handover be?

Usually one page for a week off. If it's much longer, it's probably documentation that should live somewhere permanent, with the handover linking to it. The handover itself should say what's different this week.

Who should cover for me while I'm on vacation?

Someone who's in for your whole trip and knows enough of the work to make small calls. Check the team calendar before you ask, because a backup who's out for part of your vacation leaves a gap. For a long absence, split the work between two or three people by project.

What's the difference between a handover and an out-of-office message?

The out-of-office message is for people outside your team: it says you're away, when you're back and who to contact. The handover is for your backup: it gives them what they need to actually do the work. You need both, and our out-of-office generator writes the auto-reply.

Should I check in on vacation?

Decide before you leave and write it in the handover. Fully offline, urgent calls only, or a quick look at Slack once a day are all fine, as long as your team knows which one it is. A clear handover is what makes going offline possible.

How do I do a maternity or paternity leave handover?

Use the same structure, with more time: start a month ahead, split your work between several people, and write down the decisions that will come up while you're gone. Add your expected return date and who your manager is, and agree who updates the handover if your leave starts early.
